What this job involves
- Ensure compliance with FM management regulations and requirements, ensuring adherence to established guidelines and protocols.
- Responsible for overseeing the front office to maintain and ensure its overall upkeep, creating a welcoming and professional environment for visitors and employees.
- Serve as the primary point of contact for visitors, providing courteous and informative assistance while effectively coordinating with employees to enhance a seamless visitor experience.
- Handle incoming and outgoing calls including distribution of messages. Make sure to demonstrate professional and polite telephone etiquette.
- Ensure comprehensive management of incoming and outgoing express mails, and all items are signed for, and promptly distributed.
- Responsible for managing access cards for the office and building, ensuring proper distribution, monitoring, and maintenance to uphold a secure and controlled access environment.
- Responsible for helpdesk support and ticket management.
- Responsible for inventory management and tracker update for stationery, office/ pantry/ pandemic supplies, and cleaning consumables.
- Manage payment processing activities, ensuring accuracy and adherence to protocols.
- Contribute to the preparation of essential reports, including Attendance report, Monthly Management Reports, providing accurate and insightful information to support decision-making processes.
- Actively participate in emergency evacuation procedures, demonstrating proficiency in crisis management and contributing to the organization's overall business continuity efforts.
- Collaborate closely with the supervisor and offer proactive support in various tasks and responsibilities.
- Serve as a reliable backup to the supervisor, stepping in swiftly during emergencies or when additional assistance is required.
- Demonstrate versatility by willingly taking on ad-hoc assignments as assigned by the line manager or client, ensuring a flexible and responsive approach to meet evolving business needs.
Interested An ideal candidate would need to have the following qualifications
- Possess comprehensive experience in both Front Desk and Back Office processes.
- Showcasing strong administrative skills and a proven track record in efficient operations.
- A proficient command of written and spoken English is mandatory.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- Prior experience in driving continuous improvement initiatives is desirable.
- Colleague degree above; additional certification in Office Management is a plus.
