Job Responsibilities:
1. Efficiently manage the Director's agenda, including scheduling meetings, engagements, daily activities, and coordinating overseas travel by working closely with international counterparts.
2. Handle and prioritize all outgoing and incoming correspondence, including emails, letters, and packages, ensuring timely and accurate communication.
3. Oversee divisional budget management, maintain precise expense records, and assist with reimbursement processes.
4. Perform a variety of office and personal errands to support the Director's daily functions.
5. Serve as the Emcee for functional events, ensuring a smooth and engaging experience for attendees.
6. Respond promptly to business inquiries with a professional and friendly approach, fostering collaboration.
7. Provide support for ad-hoc projects and tasks as needed, demonstrating flexibility and adaptability.
Job Qualifications:
1. Bachelor's degree or above in a relevant field.
2. Strong integrity and commitment to maintaining confidentiality.
3. Fluency in English, both written and spoken, across all aspects.
4. A mature, stable, open-minded, and proactive attitude, capable of engaging with multiple counterparts effectively.
5. Preferably 2-5 years of experience in an administrative role.
6. Proficiency in MS Office Suite, particularly Outlook, Excel, and PowerPoint.
7. High sensitivity to data accuracy and confidentiality.
8. Exceptional organizational skills and the ability to manage diverse demands in a fast-paced, dynamic environment.
9. Strong communication and organizational skills, with a keen eye for detail and a curiosity for learning new things.
10. Ability to work independently while also being an effective team player.
11. Excellent time management and multi-tasking abilities, especially under strict deadlines.
12. Knowledge of databases and tracking systems is a plus.
